The purpose of this feature is to allow Idomoo account owners to share their analytics dashboard and reports with external users who do not have an Idomoo account. Account owners have the ability to revoke access at any time as well as being able to password protect the links and set an expiration date for shared access. For the remainder of this article the account owner will be referred to as the user and the person being provided access will be the recipient.

How to share Idomoo Analytics
Follow the step by step instructions below to set up and share your analytics dashboard.
- Sign into your Idomoo account and head to the Analytics tab using the menu on the left hand side.
- From there hit the ‘Sharing’ pill shape button at the top of the screen.
- To share access to Idomoo analytics for the first time, click the button ‘Let’s Go’.
- After the first report has been set up, you can hit the blue plus button in the top left to set up another shared link.
- Enter the details of the recipient, including name, email address and their role. These fields are mandatory.
You then have the choice of what to share with the recipient:
- You can choose to share access to the dashboard, the reports or both.
- You have the option of setting an expiration date on the access you are providing.
- You can also choose to enable password protection. Although this is recommended, it is not a requirement to share access. If you set up a link without a password, it is important to stress the security concern that anyone with the link will be able to access the analytics dashboard you have shared.
- Finally you have the option to select which storyboard and which statistics IDs you want to provide access to. You also have the option to share all the storyboards and all the statistics IDs in your account with the recipient, which is the default choice.
Finally hit save in the top right and you have set up your shared link. You will then be returned to the shared link dashboard where you can see a list of the links you’ve created and manage them.
This page displays all the information about the shared links you have created, including when they were last accessed and the type of access. You can edit these items, by clicking the pencil icon:
Clicking on the chain icon copies the link to your clipboard, ready to be pasted and shared as desired.
You have the flexibility to adjust any previously established settings, and also have the option to revoke access at any time.
Recipients themselves never have access to the sharing dashboard, so they cannot share access with others. Only Idomoo account holders have the ability to share their analytics.
Revoking Access
If you no longer want a recipient to have access to the links you’ve previously created for them, you can always revoke their access. When the recipient clicks on the link after access has been revoked, they will reach a screen telling them that their link is no longer valid
To revoke access:
- Click the pencil icon next to the link you want to revoke.
- At the bottom of the sharing details page click the Revoke Access button.
- If there are reports set up through the shared link you are presented with two options:
- You can tick the checkbox and cancel all reports that the recipient had set up.
- The alternative is to not check the box and take ownership of the reports under your account. This way, you will continue to receive them as previously scheduled by the recipient.
Recipient Journey
As a recipient of a shared link you receive an email from Idomoo with your unique link. Save that link for future reference. It is unique to you. If you ever lose it, you can ask the person who created the link for you to resend it.
If the user has set up password protection, then you are directed to a page to set up your password.
This password must be at least 8 characters long and contain at least one letter (a-z), one number (0-9), and one special character (!, #, $, %, @)
